Well, Halloween is over for another year! Even though was unseasonably warm, the kids still had a great time dressing up and having fun with their friends. And now, we are on to Thanksgiving and Christmas! Do you realize that Christmas is only about 7 weeks away? This year has gone by so quickly, with so many changes, challenges and opportunities for me and my business. I’m grateful for each and every one of them!

Think Outside the Box with Box.com

Have you ever had a document that was being reviewed by multiple people, with each reviewer emailing it to the next one so that all comments are captured in one place? At some point it always seems to get off-track, and you end up with a couple of versions, not knowing who did what last, and where it needs to go next! It’s like that funny old skit about who’s on first! And what do you do if the document is too large to email? That adds another big kink in the process, doesn’t it?!

Working in a virtual world, having an easy, secure way to store and share files is a real must. Like many businesses, we do use Dropbox, and love its features, but we like to try other tools out there as well so that we’re always using the best technology we can for each of our clients.

Box.com is a really smart alternative to Dropbox. It offers most of the same features, along with a few added ones that really appeal to some of our clients. Box is used by many bookkeepers and accountants because of the added security it offers, which is so important when you’re working with financial and other very sensitive files.

Along with the usual features—

  • Centralizing your files so that all team members can easily access them
  • Sending large files securely using a link, rather than as an email attachment
  • Sharing, editing and reviewing files with others in real time, auto-saving the latest version
  • Previewing documents without downloading them first

Box also allows you to—

  • Assign due dates and tasks, and monitor progress with real-time notifications
  • Box Notes work seamlessly with others to create project schedules, checklists and more using
  • Create your own encryption keys using Box KeySafe, so you’re totally in control of your files (talk about secure!)

Take a look at Box.com. They don’t have a free version, but their pricing is very reasonable, and depending on your needs, it may well be worth it!
